Abstract
Background: Project success has become a critical element for organization in order to
reduce costs, improve efficiency as well as for the reputation of the organization. The
project management field is so complex, diverse and competitive such that organizations
want to minimise the risks and improved quality as early as in the conceptual and design
phase of the project. This has led to major organizations adopting different project
management tools with the stage gate system being one of them. However the element of
project success is crucial in ensuring the desired outcomes from planning to operation are
met.
Purpose: This study aims to evaluate a relationship between the stage gate systems as a
tool for managing projects and project success. Stage-gate process is defined as a project
management technique in which an initiative or project is divided into stages separated by
gates which are suggested by the project lifecycle phase or stages [1]. The criteria and
definition of project success from the PMBok is used as a measure against the objectives
of the stage gate system. The critical question is to evaluate as to whether there is a
relationship between the stage gate system as well as successful implementation of
projects.
Methodology/ design/ approach: The applied research methodology is the mixed
method research with data analysed qualitatively and quantitatively. An exploratory
research method is used to collate data in qualitative terms before it was analysed
quantitatively. Targeted collected and analysed data is strictly in the field engineering
projects.
Findings: The research indicated that the stage gate system is linked to the element of
project success with risk and quality aspect of project success rating high with the
objectives of stage gate system. Project success factors all featured within the objectives
of the stage gate system, however research noted that the system also has its downsides
at certain project phases.
Value: When organizations implement stage gate system as a tool for managing and
executing projects, it should not only be a paper or office exercise. However the success
factors of the system should be well defined and understood by those involved in the
project. The identification of success factors within the stage gate system will help project
managers, sponsor and teams to understand the biggest objective of the system as hole.
